Auction settlement

Mark pledges auctioned under one auction number, then record each sale batch when the jewels are sold.

What is this page?

Auctions is where a branch marks a date range of pledges as auctioned and, when the jewels are sold, records the cash. Open it from the sidebar, next to Pledge Dashboard.

Auction charges are entered under Accounting → Expenses, not on this screen.

Auction list

Each row is an auction number. It shows the locked pledge dates, the auction date, how many jewels are still unsold, how many current pledges in that window were left out, cash received, loss, and surplus.

The line above the table states the pledge dates already covered, and the next date you are allowed to start or end. New auction creates the next number.

New auction

  1. Set the pledge dates. The first auction uses both dates. After that, choose newer or older. One date is fixed so there is no gap. Set the auction date. Interest and the write-off both use that day, including for pledges you add later.
  2. Review pledges. The dates stay at the top. Current pledges are selected. Clear any you want to leave for later. Repledged pledges are listed and cannot be selected. Closed and cancelled pledges are not listed. A pledge in the pay-and-close cart is selected with the others, and it leaves the cart when the auction is confirmed. The pledge number opens that pledge. The customer name opens the customer.
  3. Confirm. The dialog says the selected pledges will be marked auctioned and not sold, and that the write-off uses the auction date. You land on that auction. Record the sale later from that page. If nothing is selected, no auction number is created.

Auction page

The page shows totals for the whole auction. Three lists sit under the totals:

  • Not included — current pledges inside the locked dates that are not on this number yet.
  • Pledges — pledges on this number, sold or unsold.
  • Sale batches — each confirm is one batch. Open a batch to see its pledges and its own cash, loss, and surplus.

Auction totals are the sum of batches that are not reversed.

An unsold pledge can be removed. That reverses only its write-off and returns the pledge to current. The auction number and pledge dates stay. A sold pledge is removed only after its batch is undone.

Open a sale batch to undo it. The batch stays in the list as Reversed. Those jewels return to unsold, and the write-off stands again. Record the sale again if the amount, date, or cash account was wrong. Batch numbers are not reused.

The auction date can be changed only when no pledges are on the number and every sale batch is reversed.

Mark not included

Mark not included marks eligible current pledges in the date range that were left off this auction number. It does not change the dates. Interest and the write-off use the original auction date. The sale is recorded later. The button is off when nothing in the range is still unmarked. Record sale is off when no auctioned pledge is still unsold.

Record sale

Select unsold jewels, enter the amount and the receipt date, and confirm. Repeat for the next sale. Each confirm is the next batch. A jewel already sold is not offered again.

The receipt date cannot be before the auction date and cannot be in the future.

Pledge list and pledge page

The pledge list has a Sold column: Sold, Unsold, or blank. The auction number opens the auction page.

The pledge page shows an Auction block only when an auction number exists: the number, the auction date, sold or unsold, the batch and amount when sold, and outstanding as of the auction date. Outstanding includes the slab notice charge.

An auctioned pledge cannot be pay-and-closed, transferred, repledged, or cancelled.
