Read the Profit and Loss report — income, expenses, and margins explained for shop owners.
What is this page?
Profit and Loss (P&L) shows whether the shop made or lost money in a period — income minus expenses.
Page title: Profit and Loss (/reports/profit-loss).
Why you use this page
- See interest income, other income, and expense categories.
- Check gross profit and net profit margins (shown on report).
- Share period summary with owner/partners.
What you see on the screen
What you will see on the screen
- Profit and Loss — title with date range text beside it.
- Date range picker — from/to dates for the period.
- Income sections — revenue lines from pledges/fees/other.
- Expense sections — rent, salary, etc. from expense ledgers.
- Profit summary — gross profit, operating profit, net profit and margins.
- Export — PDF/print if enabled.
Step-by-step: run P&L for the month
Open Profit and Loss
Reports → Profit and Loss.
Set date range
Example: 1st to last day of month.
Load report
Wait until figures appear.
Read net profit
Bottom summary — positive means profit, negative means loss.
Drill by category
Expand expense groups — match to Expenses list.
Export if needed
Save PDF for records.
What happens after you view?
- No change to live data.
- Figures include all posted vouchers in range.
- Year-end may move profit to owners — see Year-end.
Tips
| Tip | Why |
|---|---|
| Match expense ledgers | Wrong ledger = wrong category |
| Include full last day | End date should be inclusive per filter |
| Compare to Daily Register | Large mismatch means missing vouchers |
If something goes wrong
| Problem | What to do |
|---|---|
| Income too low | Missing receipts or interest posting rules |
| Expense zero | No expenses posted or wrong date range |
| “Something went wrong” | Refresh; contact support if persists |
| Date blocked | User restriction — ask admin |
